We are a modern, forward-thinking member of the Institute of Chartered Accountants and Chartered Tax Advisors who offer our clients a one stop solution for all their accountancy needs. We have been in practice for over 30 years and are looking to expand our team of 28 professionals.

We are proud that the average length of service from our current staff is over 10 years, and we are looking forward to welcoming new members of the team.

Practice Manager (Part-Time)

Waterlooville, Hampshire / Flexible Working

Salary & Benefits

The Role

This is a varied and hands-on role focused on supporting the operational side of the practice. The successful candidate will work closely with the Directors and team to help improve processes, monitor workflows, maintain compliance procedures, and oversee a range of administrative and operational functions.

 

The role is intended to create greater structure and accountability across the practice, allowing the wider team to remain focused on delivering high quality client work.

Key Responsibilities 

Operational & Workflow Management
• Monitoring workflow systems and practice management software (including TaxCalc) to ensure jobs are progressing appropriately
• Identifying older or stalled jobs and proactively following up with the relevant team members
• Assisting with job allocation and ensuring work is assigned appropriately
• Helping improve internal processes and efficiencies across the practice
• Supporting the Directors with operational planning and implementation of new systems or procedures

Compliance & Practice Administration
• Coordinating annual compliance reviews and maintaining internal compliance records
• Assisting with Health & Safety compliance and risk assessments
• Liaising with external providers where required
• Supporting CPD and training administration, including Mercia compliance requirements
• Maintaining practice policies, procedures, and internal documentation

HR & Team Support
• Assisting with recruitment administration and onboarding processes
• Coordinating work experience placements
• Supporting general HR administration
• Acting as a central point of contact for operational matters within the office

Facilities & Supplier Management
• Overseeing general property and office maintenance matters
• Coordinating suppliers relating to alarms, air conditioning, electrics, utilities, and other office services
• Reviewing supplier contracts and assisting the Directors in assessing alternative providers where appropriate
• Helping ensure the office environment operates efficiently following ongoing refurbishment works

IT & Systems Support
• Acting as an internal coordinator for day-to-day IT matters
• Liaising with external IT support providers
• Assisting with implementation and monitoring of internal systems and software processes 

Skills & Experience

The ideal candidate will:

• Be highly organised and proactive
• Have strong administrative and organisational skills
• Be confident managing multiple responsibilities simultaneously
• Have excellent communication skills
• Be comfortable following up with team members and monitoring workflow progress
• Have experience in practice management, office management, operations, or administration
• Experience within an accountancy practice or professional services environment would be advantageous, but is not essential.
